Replace hotkeys. Hot combinations and WORD keys. Printing and previewing documents

Highlighting text is one of the most simple operations in the Word text editor. Most users select using the mouse. This method extremely simple, but has a number of disadvantages. Firstly, when you select text with the mouse, you need to take your hand off the keyboard, and this significantly slows down your work with the document. And secondly, selecting a large amount of text in this way takes a very long time, which also slows down the work.

An alternative way to select text is to select using the keyboard. In this article we will talk about how to select all text in Word 2003, 2007, 2010, 2013 and 2016. We will also look at a number of other similar operations.

Select all text in a Word document.

In order to select all text in Word, you need to press the key combination CTRL+A. To help you remember this key combination, think of it as CTRL + All.

In addition, if you have Word 2007, 2010, 2013 or 2016, then you can select all the text using the “Select” button, which is located on the “Home” tab.

Unfortunately, there is no such button in Word 2003.

Using the keyboard, you can select a block of text of any size. To do this, you just need to hold down the SHIFT key and control the cursor using the arrows on the keyboard. This will highlight the text. The starting point for selecting text will be the point where the cursor was positioned at the moment you pressed the SHIFT key. And you can select the end point of the selection by moving using the arrows on the keyboard.

This method of selecting text can be speeded up. To do this, hold down the CTRL and SHIFT keys at the same time, and then start moving using the arrows on the keyboard. In this case, the text will be highlighted in whole words at once, which will significantly speed up the process of selecting the desired block of text.

You can also specify the end point of the selection using the mouse. To do this, simply hold down the SHIFT key (or CTRL and SHIFT at the same time) and click with the mouse at the point where the end of the selected text should be located.

There are some interesting ways to highlight text using the END and HOME keys. For example, when you press SHIFT+END the text Word editor will select all text from the cursor to the end of the line. And when you use the SHIFT+HOME key combination, the text from the beginning of the line to the cursor will be highlighted.

The key combination CTRL+SHIFT+END selects all text from the cursor to the end of the Word document, CTRL+SHIFT+HOME from the beginning of the document to the cursor.

Highlighting a single word, sentence or paragraph.

If you need to select only one specific word, then you can do this by simply double-clicking the left mouse button on the word. If you click on a word three times, you can select the entire paragraph of text in which this word is located.

To select one sentence, you need to click once, but while holding down the CTRL key.

To do any action with the text, say, change the font used for writing, you need to select the text. Selecting small pieces does not cause difficulties even for novice users, because in Windows most operations can be done with the mouse. But when you need to select all the text in a large, multi-page document, using the mouse can be very inconvenient. You are unlikely to be able to successfully hold left button while you scroll the wheel and move the mouse horizontally (the end of the document is rarely at the level of the beginning of the line).

Hotkeys

Versatile. To select everything in Word 2007, you need to use the same combinations that will work in other versions. When you know at least the most frequently used combinations, the work speeds up significantly. To select the entire document, just press CTRL+A or CTRL and 5 on the numeric keypad. But how can you select all the text on several pages, but not in the entire document?

SHIFT key combinations will help you. You can do this: press the key and then use the mouse to mark the place where the selection begins. While holding SHIFT, scroll the wheel and place the cursor where you want the selection to end. Release the key.

SHIFT works in tandem with navigation keys. By leaving it pressed, you can select the desired segment down to one letter. When selected with the mouse, the system automatically tries to move the “black” area to the border of the last word, but this is not always necessary. Simply hold SHIFT while you click on the arrows, and the selection will increase by exactly one character with each press of the index key.

Not everyone knows how to select all text correctly using the F8 key. It turns on a special selection mode, but if you don’t press ESC at the end, when you replace one character in the middle of the document, its neighbor on the right will disappear. For example, you need to correct the word “iext” to the correct version. If you erase the first letter and write “t” instead, using F8 you will get “txt”.

F8 is easy to press, no need to hold. You can then click on the borders of the selection or move around the text using the navigation keys. When you choose the second option, press F8 after you have placed the cursor at the beginning of the selection.

Special Features

In Word you will find several interesting ways to highlight all text. If the entire document has same formatting(by size and type of font), select at least one word and click right button open The item “Select text that has the same format” will become available, i.e. in our case, the entire text.

By holding down the ALT key, you can select everything within the boundaries of the rectangle. The user indicates the opposite corners of the rectangle using the mouse.

Select from menu

Finally, we’ll tell you how to select all text from a menu. In Word 2007 and 2010, on the main tab you need to open the “Editing” item. The right command will be there. In Word earlier versions"Select All" is located in the "Edit" menu.

The other day I had to use Word and I realized that I couldn’t do without knowing at least the basic hotkey combinations.

But all I needed was to remove all the hyperlinks from the document, and it took too long to remove each one individually. What can we say about those people who use Word every day. This article is exactly for them.

Computers have become an integral part of our lives. And the ability to use a computer, as well as the ability to read and write, is required almost everywhere. One of the main “measures” of computer knowledge is the ability to work with an office software package from Microsoft. Microsoft Office includes in its package word processor Word. Microsoft Word is a program used by doctors, teachers, military, accountants, lawyers, students, etc. Word is also widely used at home. Therefore, good knowledge and ability to use this program will help almost everyone who uses a computer for work and private purposes.

Of course, the ability to work with Word requires a lot of knowledge; in this article I will talk about the hotkeys used in Word. Hotkeys in Word help significantly increase speed efficient work in a text editor. Many of you will say that it is more convenient to work with a mouse, but experience and practice show something completely different. And as my argument, I will propose an experiment, compete with yourself - send an open Word document two ways. Of course, you can do this quickly with a mouse, but if you learn to use the hotkey combinations Ctrl+P, Ctrl+Shift+l, you will probably send documents to print faster. Or try another experiment, save open document. I am sure that the fastest way to do this is using the Ctrl+S key combination. It is the speed factor that is the advantage that you get over your colleagues. This means that your knowledge is more competitive in the fight for well-paid jobs.

I divide keyboard shortcuts in Word into several categories. And I think that this approach is more correct, because it allows you to memorize them according to a certain structure.

It is also useful to know some Alt combinations, for example.

Common Keyboard Shortcuts

This category includes service key combinations that perform some action on the entire document. Combinations of saving a document or printing fall into this category. The following combinations are also often used:

These Word keyboard shortcuts, related to common shortcuts, are the most commonly used. Of course, everyone who uses hotkeys will add a couple of combinations to this list from their experience. But many will agree that the listed set is mandatory for confident work.

Move and highlight key combinations

In my opinion, it is precisely without these keys that it is impossible to imagine proper work with documents. When you have to edit a document, every time you need to highlight a piece of text or move a few words to the side, grabbing the mouse means wasting a lot of time.

Basic combinations for moving:

I think that, having mastered these 10 key combinations, you will be able to confidently and most importantly quickly navigate within the document. These combinations become more useful when you need to highlight a piece of text. With the exception of the keys for moving around the table, if you add the pressed Shift key to the other combinations, you can select a word, paragraph, text before the beginning of the document, text at the end of the document, text at the beginning of the page, text at the end of the page. And using the Ctrl+A key combination you can select the entire document.

Frequently used combinations

This category of key combinations directly includes those that perform operations on objects (elements) of the document. What is a document element? Document elements include almost everything you work with in a document. These are: a symbol, a word, a group of words, a line, a paragraph, a picture, a table, an element of a diagram, an entire diagram, etc. The concept of an element in Word can also be defined as follows - everything that can be selected!

I have listed the most used key combinations that perform direct actions on an object. As I said earlier, everyone has their own experience and someone is probably ready to add to the above list. But I think that few will dispute the combinations given. After all, if you need to delete a word before the cursor, then it is much easier to press Ctrl+Backspace once than Backspace many times. Or if you need to highlight some fragment in italics, then it’s definitely easier to press Ctrl+I and everything will be as it should. After all, in this case you don’t have to take your hands off the keyboard and you can just continue typing.

Rarely used combinations

In this category I include those combinations that you can do without, but within the framework of a separate document they are very necessary. As an example, I will give the following situation: sometimes I write texts to order and in some cases I am given a condition - the text must consist of 2-2.5 thousand characters or 1 thousand words. Thus, I need to look at text statistics frequently. To do this, I press Ctrl+Shift+G, a statistics window opens in front of me, and I get the necessary information.

I have the following set of rarely used key combinations:

You begin to understand the importance of Word keyboard shortcuts when your typing speed goes beyond the capabilities of two-finger typing. If you start to master touch typing, the mouse becomes useless while typing. It only distracts, but hotkey combinations, on the contrary, begin to help you work efficiently.

Although I should agree with those who say “why learn combinations that I won’t use.” For such people I would like to say the following. I don't always use key combinations - it's not necessary. I don't know all the combinations - it's not necessary. But there are operations that need to be performed repeatedly, and it’s simply inconvenient to grab the mouse. Therefore, for myself, I learned those that I found useful. Which is what I advise you to do.
